Scope and agreements

These are the general terms for BetaRoom, the beta-reading workspace at betaroom.app. BetaRoom LLC, based in Houston, TX, is the operator.

Pilot authors and invited readers participate under the agreement versions presented and accepted in their onboarding or Round entry. Publishing this page does not replace those agreements, record acceptance for an existing user or change previously recorded acceptance. Any general terms that require acceptance must be presented prospectively through an appropriate acknowledgement process.

The specific accepted pilot or reader agreement governs that participation if it differs from these general terms. The Privacy Policy describes information handling. Author-added terms apply only to the relevant beta read and cannot override BetaRoom’s access controls or grant rights to someone else’s material.

02

What BetaRoom provides

BetaRoom provides tools to organize one manuscript into Parts and Rounds, invite readers, collect applications, manage releases, ask questions and review or export feedback. Authors bring and vet their own readers. BetaRoom is not a reader marketplace and does not supply readers or guarantee their suitability, completion, feedback or conduct.

A Room is for one manuscript identity and its revisions; additional Rounds are reads of that same work. A different book belongs in a different Room. Access and available features depend on the Room’s status and the applicable participation terms.

03

Accounts and eligibility

Authors and readers must be at least 18 and use their own verified accounts. Provide accurate information, protect your sign-in codes and credentials, and do not share accounts or impersonate another person. Report suspected account compromise promptly to support@betaroom.app.

Reader invitations are personal. Accepting an invitation does not by itself release a manuscript: entry requirements, Round status, release configuration and reader permissions also apply. Authors may revoke reader access or close a Round or Room according to the available controls.

04

Your content stays yours

Authors and other rights holders retain ownership of manuscripts and original creative material. Uploading material does not transfer that ownership to BetaRoom. You must have the rights needed to upload it and share it with your chosen readers.

You permit BetaRoom to store, process, reproduce, format, display, transmit, watermark, secure and support uploaded content as reasonably necessary to operate the service under your accepted agreement. That permission does not authorize publishing, selling or licensing your manuscript as a creative work.

Readers retain any rights they have in original feedback and permit the storage, display, transmission and export needed to operate the beta read. The author may keep and use feedback to evaluate and revise the manuscript. Public use of a reader’s identity or exact feedback as a testimonial requires separate permission.

05

Confidentiality and reader conduct

Readers must protect nonpublic manuscript content and private information disclosed for the beta read. Reading access does not grant publication or redistribution rights. Do not post, forward, sell or disclose manuscript content, make or distribute screenshots or other copies, or share access without the author’s specific written permission. Short excerpts submitted through BetaRoom as feedback to that author are permitted for that purpose.

Confidentiality does not cover information already public without a breach, lawfully known beforehand, lawfully received without a confidentiality duty or independently developed without the confidential material. It does not prevent required legal disclosures or protected reports to authorities. Ending access does not end duties concerning information that remains confidential.

Authors must keep reader contact details and feedback private and use them for administering the beta read and evaluating or revising the manuscript. Exported copies remain subject to these obligations. These terms do not require positive reviews or restrict honest discussion of a general product experience that does not disclose confidential material.

06

Human feedback and AI

Readers must provide their own reading reactions. Do not disclose confidential manuscripts to generative AI services or model-training systems, or use generative AI to produce, rewrite or substitute for questionnaire answers or passage comments about the manuscript.

Assistive reading and accessibility tools are allowed when they do not disclose confidential material to an outside service or use it for AI analysis or training. Obtain the author’s written permission before an accessibility tool sends manuscript content to an outside service.

BetaRoom does not use generative AI to critique, summarize, rewrite, evaluate or generate feedback about manuscripts. We do not sell or intentionally supply manuscripts for generative AI training or train a BetaRoom generative AI model on them. Necessary automated processing for storage, rendering, security and delivery is part of operating the service. A materially different future AI use requires separate disclosure and any applicable consent.

07

Acceptable use

Do not bypass permissions, interfere with the service, remove or obscure manuscript watermarks, access another person’s records without authorization, distribute malicious files, harass others or use BetaRoom for unlawful activity. Do not upload material you lack the rights to share.

Report suspected vulnerabilities privately to support@betaroom.app. Do not access or retain another user’s material as part of investigating an issue. Reports to authorities that are legally protected remain permitted.

08

Support and access limits

Support staff can handle information you deliberately provide in tickets. In an initial report, send the affected Room, Round or Part, exact error and reproduction steps; do not include sign-in codes or manuscript content.

General Admin access does not provide routine access to manuscript pages, reader-written answers or passage comments. Temporary Support access requires a named administrator’s request and the author’s approval for one Room’s operational scope. Requests expire after 24 hours; approved access must be started within 24 hours, and the one-hour session begins when the administrator starts it. Approval can be revoked before or during the session.

That read-only view includes setup, metadata, release settings, author-created questions, reader identities and progress, application settings and counts, and entry settings. Feedback is counts and progress only. It excludes manuscript pages, answers, comments, other Rooms, the shared Reader List and account settings, and cannot impersonate users. Access events are audited. Approval to view is not authorization for a Room reset or other destructive recovery action.

09

Free pilot and future pricing

The pilot is free for authors and readers. It does not require a future purchase or promise free access after launch. Features may change or be incomplete; bugs, outages and data errors may occur. Keep your own original manuscripts and backups of important material. BetaRoom does not guarantee uninterrupted service, reader completion, useful feedback or publishing results.

Any future paid offering will disclose its price, service term, renewal, cancellation and applicable refund terms before purchase. These terms do not activate subscriptions, charge users or establish a paid checkout agreement. Readers do not pay BetaRoom.

10

Ending participation and exports

You may stop participating. BetaRoom may suspend or end access for security, misuse, agreement violations or changes to the pilot, subject to applicable law and the accepted participation agreement. A security restriction may limit access while a problem is investigated.

The accepted pilot agreement provides notice of the pilot end date and export deadline. Noncontinuing authors have 14 calendar days after the announced pilot end to export available feedback. This does not extend the free pilot or require continued reader access. Existing deletion commitments are described in the Privacy Policy and accepted pilot agreement.

Removing a saved reader or revoking access is not account deletion and does not automatically erase feedback or agreement records. Request account closure through support@betaroom.app. Closure and cleanup must distinguish the affected account and Rooms from another author’s material and unrelated reader access.

11

Product feedback and publicity

Feedback you voluntarily give BetaRoom about the product may be used to develop, improve, operate and commercialize the service without compensation. This does not grant ownership of manuscripts, story ideas or readers’ creative feedback about a book.

BetaRoom will request separate permission before using your name, image, manuscript title, cover or comments in testimonials or promotion.

12

Updates and contact

Changes requiring a new acknowledgement will be presented for acceptance; publication alone does not create a record that an existing user accepted a new version.
